Oral presentation guidelines

ISPRM 2024 is being held as in-person congress. Therefore, speakers are only to give in-person presentations.

This information is for all oral presentations. These guidelines include instructions on how to prepare your presentation.

It is recommended that all oral presenters use the official presentation template when preparing their presentation. This template is already in the 16:9 ratio for you.

All users of Macintosh hardware need to ensure before they leave home that the files are compatible with PC hardware. It is expected that presenters will use Microsoft.

Other compatible software includes:

  • Windows XP
  • Office XP (Word, PowerPoint, Excel, Access, Outlook)
  • Windows Media Player
  • Quick Time
  • WinZip
  • Adobe Acrobat
  • Flash Player

Please let us know immediately if you use a Mac system.

If you have movies or sound files in the PowerPoint presentation, please embed them and test that they work correctly in presentation mode

To ensure a complete and effective presentation every time here’s what to do:

  • Create a folder for your presentation.
  • Place or copy every file that is used in the presentation in this folder. This will include all pictures, movies, sounds or any files that are used in the presentation.
  • Now re-create any links so that they access this presentation folder (Insert, Movies and Sounds, From File). Remember to resave the presentation.
  • Another advantage of this approach is that you have access to the original files such as video clips etc. in the event of PowerPoint problems.

All speakers are required to pre-load their presentations at the speakers’ preparation room at least 3 hours prior to their session commencing.

All presentations will be networked to the presentation rooms; therefore, you need to ensure your presentation is loaded prior to your speaking time.

It will not be possible to use your own laptop or USB for your presentation

Your presentation will be given live, in-person. Questions from the audience will be moderated by the session chair and distributed verbally to speakers.

You are required to be available for the duration of your session and to participate in the live Q&A.

Please check in at the speaker’s preparation room well in advance of your presentation (at least 3 hours prior to your session commencement).

Your presentation will be checked, then loaded onto the network, and will be available in your assigned session room.

The speaker preparation room is located at Room C3.1 on the convention centre side of the ICC.

It will be open during the following times: 

Saturday 1 June: 0700 – 1800 hours
Sunday 2 June: 0800 – 1800 hours
Monday 3 June: 0700 – 1800 hours
Tuesday 4 June: 0700 – 1800 hours
Wednesday 5 June: 0700 – 1800 hours
Thursday 6 June: 0700 – 1300 hours

Follow the below checklist to ensure you are ready for your presentation!

  • Make sure you have loaded your presentation in the speaker’s preparation room
  • Be in your assigned session room at least 20 minutes prior to your session commencing
  • Ensure that you are seated at the front of the room (front row near lectern or at head table depending on number of speakers in your session)

Poster snapshot presentation guidelines

ISPRM 2024 is being held as in-person congress. Therefore, speakers are only to give in-person presentations.

This information is for all poster snapshot presentations. These guidelines include instructions on how to prepare your presentation.

The poster snapshot presentations are 4 minute presentations accompanied with a maximum of 3 slides.

It is recommended that all oral presenters use the official presentation template when preparing their presentation. This template is already in the 16:9 ratio for you.

The poster snapshot sessions are scheduled on Tuesday 4 June 0800 – 0830 hours.

You are required to be available for the duration of your session.

Please check in at the speaker’s preparation room well in advance of your presentation (at least 3 hours prior to your session commencement).

Your presentation will be checked, then loaded onto the network, and will be available in your assigned session room.

Poster presentation guidelines

IMPORTANT: In 2024, all posters will be displayed in a digital format. There will not be any traditional printed displays.

You will be required to pre-prepare your poster for digital display and submit it ahead of the congress.  

It is recommended that all poster presenters use the official poster presentation template when preparing their poster, however this is not mandatory. This template is already in the A0, portrait style.

The official poster size is A0, portrait with the below specifications:

  • 1189mm high and 841mm wide – maximum size
  • 2384 x 3370 px @ 72 DPI
  • Exported and saved as a PNG file format for submission


Each poster is permitted 1 x A0 display.

You are required to prepare your poster in the correct sizing otherwise it will not display correctly on the screen. 

Posters will be displayed for the duration of the congress on dedicated screens within the exhibition hall. 

There is no oral component required for the poster presentations. 

Delegates attending the congress will be able to browse the presentations at their leisure. 

The congress app will also allow delegates to contact you regarding your work with any questions they may have. 

Poster presentations are required to be submitted prior to the congress commencing. 

Please ensure you follow the below steps to finalise your poster: 

  • Prepare your poster using the official template
  • Export and save your poster presentation as a PNG file
  • Rename your file as follows: last name_poster_paper number

Chairperson guidelines

This information is for all chairpersons. These guidelines include instructions on what is expected and how to manage your assigned session.

What can I expect on the day?

The room set of your room can vary depending on the type of session in your room. It will either be set up as theatre style, cabaret, banquet or a mix. 

Rooms will be set with a head table. The head table can be used by the chairperson and for any panels you may have in your session.

The head table can also be used during any Q&A you have in your session. Chairpersons/speakers can use the head table and/or lectern during Q&A.

We advise that presenters sit in the front row/near the front of the room so that they can easily move up to the lectern to present.

There will be an ISPRM room attendant available who will float in and out of your room during your session. They will be able to assist with your questions. 

There will also be AV technicians available to assist with any enquiries. 

All Q&A will be handled in-person within each room – with questions and answers being vocalised in the room.

No Q&A will be possible in the congress app.

If an audience member calls out a question whilst seated, you must repeat the question so everyone can hear.  Chairpersons/speakers must always speak into the microphone.

It is IMPORTANT that all chairpersons download the congress app to effectively manage their assigned session. 

The app will show the following information:

  • Session information including the title of the session, speaker names, presentation titles and presentation lengths

 

The chairperson is expected to manage the session, and this includes but is not limited to the following actions:

  • Introduce the session
  • Introduce the speakers (biographies are not necessary due to time constraints, full name and presentation title is sufficient)
  • Facilitate Q&A with the audience
  • Ensure the session runs to rime and does not exceed the allocated time
  • Close the session and thank speakers/audience

Discuss with your co-chairperson how you will divide the role within the session. For example one may choose to open/close session while the other may choose to facilitate Q&A. 

Important note: All sessions must run to time. It is the chairpersons responsibility to stop the speaker if they exceed their time limit.
